Reports and key performance indicators (KPI)

*evolution hotel software offers a wide range of reports covering all aspects of the hotel management: occupancy forecasts, housekeeping, control, analysis, marketing, accounting and catering.  

  • Key performance indicators. *evolution tracks all standard industrial indicators of the hotel performance. All indicators are calculated in conformity with USALI.
    • Room Statistics: Occupancy, Multiple Occupancy, Guests by Marketing Segments, Arrivals, Departures, Cancellations, No-Shows.
    • Revenue: By USALI categories, sub-categories and marketing segments.
    • Ratios : ADR, Average Guest Rate, Occupancy%, Multiple Occupancy %, RevPar, Total RevPar, Average Guest per Room, Average length of stay, Average revenue per guest.
  • Control reports. Various reports for control of: registered and used deposits; cashier reports; award and consumption of loyalty bonus points; lists of issued documents; reports on rates and room prices; in-house and external phone calls. User operations are also tracked: change of stay, editing of address cards, moving guests to different rooms, manual changes of the occupancy conditions, deleted guests, etc.
  • Registration/Address cards and registers. All registers and address cards required by the law. Different forms with consideration of the local municipality or state requirements.
  • Contract terms / Voucher lists. Reports useful in processing receivables from tour operators or companies and in monitoring allotments. Descriptions of bookings and guests by arrivals, vouchers and issued invoices. Summary and detailed reports. Tour operator allotment usage.
  • Bookings, Guests, Accounts. All reports needed for the day-to-day operations at reception. Arrivals, Arrivals by time and transfer, No-show, Checked in bookings, Guest lists, Receivables by rooms and bookings, Guest birthdays, Departures, Departures by time and transfer.
  • Occupancy. Reports on current, short-term and long-term occupancy. Hotel map showing free, occupied and expected rooms. Availability calendar showing free rooms for each date of a selected month. 7-, 14- and 30-day occupancy forecasts. Long-term occupancy forecast with detailed information about the occupancy types and days, weeks and months. Export of the occupancy forecast to Excel and OpenOffice allowing deeper analyses and  prognoses.
  • Statistics and marketing. Statistics and marketing information on occupancy and revenue.
    • Revenue. Net and gross revenue tracked by: guest marketing segment; Agent/Company/ Tour operator; USALI categories, sub-categories, custom categorization and services; Nationality; Other marketing analyses like: Channel, Come reason, Hear reason, Source. The revenue data for the selected period can be presented per day, per week, per month or year. Some reports show the information for a day, month and year and in comparison to a previous year. 
    • Occupancy. The reports on nights and occupancy ratio can be presented in different aspects:   By nationality; By room types; By marketing segments; By types of blocks; By additional marketing indicators: Segment, Source, Channel, Come reason and Hear reason. The occupancy can also be presented in various levels of details: per day, per week, per month, per year. Comparison 'Day, Month, Year' reports present the data juxtaposed to data from a previous year.
  • Housekeeping. Reports with instructions about the daily maintenance of the rooms. Using the maintenance schedules allows complete automation of the housekeeping information process.
  • Condo owners/resident investors (condo hotels, managed apartments, vocational properties). Various reports giving information about the income from renting rooms of owners. Reports providing information about the movement in owners' customer accounts. Report on bookings and nights of owners staying in their own rooms. Balance report analyzing the income, expenses and profit from each room and its owner for the hotel.
  • Accounting. Various reports on the accounting of different operations.
    • Documents list. Various lists of the issued invoices and documents allowing several detail levels: by documents; by services; by contractors; by payment types.
    • Accounting records. Sales operations in the hotel in sample sales records: Customer account, Revenue account, VAT account.
    • Sales reports.
  • F&B. All information from the hotel to the restaurants needed for the catering of the guests. Summary reports for planning daily breakfast, lunch and dinner buffets. Report on specially provided catering per agents. Detailed reports per rooms and guests for admission to the buffet. Statistics report for a desired period. All reports allow for meal time changes depending on early or late arrivals of arranged tourists.

Infomatic® Internet Report Center - the latest information about your hotel at any moment from any place

Infomatic Internet Report Center is a service provided by Clock Hotel Software for *evolution users.

It allows online access to a custom defined selection of reports, which are updated automatically at an interval you define. They can be checked using a standard or mobile browser from your desktop computer, notebook or mobile phone.

The access to your information is protected by an encrypted SSL connection, user name and password. The service functions on a secure Clock Hotel Software server to which all internet traffic is directed, thus eliminating any risks for your computer network. Using Infomatic does not require any additional equipment. All you need is an internet connection to your hotel for the automatic updates.
